This Privacy Policy explains how Kinard Applied Solutions LLC, doing business through the product Paius (“Paius,” “we,” “us,” or “our”), collects, uses, discloses, stores, and protects information when you access or use the Paius website, application, services, tools, dashboards, reports, preflight assessments, receipts, analytics, approvals, and related services (collectively, the “Service”).
Paius is a SaaS platform designed to help individuals, teams, and businesses estimate, review, manage, and govern AI workflow costs, usage, risk, approvals, and related business value.
By using the Service, you acknowledge that you have read and understood this Privacy Policy.

2. Scope
This Privacy Policy applies to information collected through the Paius website and application. Paius is currently operated from the United States and primarily serves U.S.-based users and organizations. Users in other regions may access the Service where legally permitted and where use complies with applicable local laws.
This Privacy Policy does not apply to third-party websites, products, services, or integrations that Paius does not own or control.
3. Information We Collect
We collect information that you provide directly, information generated through your use of the Service, and limited information processed by our service providers.
3.1 Account Information
We may collect:
- Name;
- Email address;
- Company or organization name;
- Password or authentication credentials;
- Role, title, permissions, or account type;
- Workspace, team, or organization membership details;
- Email verification status;
- Subscription plan and account status.
Passwords are stored using hashing practices and are not stored in plain text.
3.2 Customer Content
The Service allows users to submit, upload, generate, review, and store content, including:
- Workflow descriptions;
- AI task descriptions;
- Prompt-related information;
- Cost assumptions;
- Budget information;
- Approval notes;
- Uploaded files or documents;
- Preflight assessments;
- Receipts;
- Risk or confidence notes;
- Business usage and analytics records;
- Other information entered into the Service.
We refer to this information as “Customer Content.” You are responsible for ensuring that you have the right to submit Customer Content to Paius.
3.3 Billing and Subscription Information
Payments are processed through Stripe. Paius does not directly store full payment card numbers. We may receive and store billing-related information from Stripe, including:
- Subscription status;
- Plan type;
- Billing history;
- Invoice records;
- Customer identifier;
- Payment status;
- Tax-related information;
- Limited payment metadata.
3.4 Cookies and Analytics Information
We use cookies and similar technologies for authentication, session management, website functionality, security, preferences, and analytics. We currently use Vercel Analytics. We may collect or process limited usage and analytics information such as page views, performance information, referral information, device or browser information, and aggregated usage trends.
Although Paius does not intentionally create detailed behavioral profiles, infrastructure providers may process limited technical data, such as IP addresses, request metadata, timestamps, browser information, and similar technical data, to deliver, secure, monitor, and operate the Service.
3.5 Support Communications
If you contact us by email, we may collect your email address, message contents, attachments, and any information needed to respond to your request.
4. Sensitive Information
Paius does not require users to submit sensitive personal information. However, because users may enter free-form text, upload files, or describe internal workflows, users may choose to submit sensitive, confidential, regulated, or proprietary information.
You should avoid submitting sensitive personal information unless it is necessary and you have authority to do so. Paius is not designed to store or process medical records, protected health information, payment card data, government identification numbers, children’s data, or other highly regulated data unless expressly agreed in writing.
5. How We Use Information
We use information to:
- Provide, operate, maintain, and improve the Service;
- Create and manage accounts;
- Authenticate users and maintain sessions;
- Verify email addresses;
- Process subscriptions, billing, invoices, and taxes through Stripe;
- Generate and store preflight assessments, receipts, analytics, dashboards, reports, risk indicators, and approval records;
- Provide support;
- Maintain security and prevent abuse;
- Troubleshoot bugs and technical issues;
- Analyze product usage and performance;
- Enforce our Terms of Service and other policies;
- Comply with legal, tax, accounting, and regulatory obligations;
- Communicate administrative, billing, security, and product updates.
6. AI Processing and Model Training
Paius uses or may use AI service providers, including OpenAI, Anthropic, and Google Gemini, to support product functionality and service operations.
Under Paius's current architecture and feature configuration, customer-submitted prompts, workflow descriptions, uploaded files, and Customer Content are not transmitted to external AI model providers unless Paius discloses that processing, obtains any required consent, or the customer enables a feature that requires such transmission.
Paius does not use Customer Content to train Paius models and does not fine-tune AI models using Customer Content.
We may use anonymized, aggregated, or de-identified data to understand product usage, improve system performance, develop features, and evaluate business trends, provided that such data does not identify a customer or individual.
7. Organization Administration
If you use Paius through an organization, workspace, team, employer, or business account, administrators may be able to access, review, export, manage, or delete information associated with that organization, including user activity, preflight assessments, receipts, costs, risk indicators, approvals, analytics, and Customer Content.
Your organization may have its own policies governing your use of Paius. Paius is not responsible for your organization’s internal privacy practices.
8. How We Share Information
We do not sell personal information. We do not share personal information for cross-context behavioral advertising.
We may disclose information to:
8.1 Service Providers
We use service providers to operate Paius, including hosting, database infrastructure, payment processing, email, analytics, authentication, and AI infrastructure. These providers may process information only as needed to provide their services to Paius.
8.2 Organization Administrators
If you are part of an organization account, information related to your workspace may be visible to organization administrators.
8.3 Legal and Compliance Purposes
We may disclose information if we believe disclosure is necessary to comply with law, legal process, tax obligations, government requests, enforce our policies, protect rights and safety, prevent fraud, or investigate abuse.
8.4 Business Transfers
If Paius or Kinard Applied Solutions LLC is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, information may be transferred as part of that transaction, subject to appropriate confidentiality protections.
9. Subprocessors
Paius uses subprocessors and vendors to provide the Service. A current Subprocessor List is available on the Paius website. Current subprocessors include Vercel, Neon, Stripe, PrivateEmail, Resend, Google OAuth-related services, optional SMTP email providers, OpenAI, Anthropic, Google Gemini, and optional security monitoring providers.
10. Cookies
We use cookies and similar technologies as described in our Cookie Policy. Some cookies are necessary for login, authentication, security, and Service functionality. Analytics cookies may be used only as described in our Cookie Policy and cookie consent interface.
11. Data Retention
We retain information for as long as necessary to provide the Service, comply with legal obligations, resolve disputes, enforce agreements, and maintain business records.
Current retention periods include:
- Account information: for the life of the account and for a reasonable period after closure;
- Workspace records and Customer Content, including inputs, outputs, receipts, analytics, and debugging records: up to five years unless deleted earlier in accordance with policy or applicable law;
- In-app workflow prompt and output content: prompt and output content for in-app workflow execution follows the workspace retention setting: full, redacted, or none;
- Billing, tax, and accounting records: up to seven years;
- Support emails: as long as needed for support, compliance, and business records;
- Deleted account data: generally deleted or de-identified within 30 days after a verified deletion request, subject to lawful retention exceptions.
Backups, if any are later implemented, may retain limited data for a short period before deletion through ordinary backup rotation.
12. Account Deletion and Data Requests
Paius currently does not provide self-service account deletion inside the application. To request account deletion, data export, correction, or access, contact support@getpaius.com. Organization administrators may request export of workspace data through the same channel.
We may need to verify your identity and authority before completing a request. Organization data may require administrator authorization or coordination with the organization owner.
Deleted account data is generally deleted or de-identified within 30 days after a verified deletion request, subject to lawful retention exceptions.
13. Security
We use administrative, technical, and organizational safeguards designed to protect information, including HTTPS encryption in transit, provider-supported encryption at rest, password hashing, email verification, password reset functionality, Google OAuth, and role-based access controls.
No method of transmission, storage, or processing is completely secure. Paius cannot guarantee absolute security.
14. Children and Minors
Paius is not directed to children under 13. Users under 18 may use Paius only with permission and supervision from a parent or legal guardian, or through an authorized school, organization, or business arrangement where appropriate consent and authority exist.
If we learn that we collected personal information from a child under 13 without required consent, we will take reasonable steps to delete that information.
15. U.S. State Privacy Rights
Depending on your state of residence and whether applicable legal thresholds are met, you may have rights to access, correct, delete, or obtain a copy of certain personal information, and to opt out of certain data practices. Paius does not sell personal information and does not share personal information for cross-context behavioral advertising.

16. International Users
If you access the Service from outside the United States, you understand that information may be processed in the United States, where privacy laws may differ from those in your jurisdiction. You are responsible for ensuring your use of Paius complies with local laws and your organization's obligations.
17. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be posted on the Paius website with an updated “Last Updated” date. If changes are material, we may provide additional notice through the Service or by email.
